East Texas Triathletes Club Minutes 2008-2009 Season

Executive Committee Meeting in Marshall, Texas December 15, 2009

This meeting was requested by Vice President Steve Farris because of a situation which has arisen concerning the date of the 2010 Rose City Triathlon.  He reported that the University of Texas at Tyler and the Robert E. Lee / John Tyler High School Invitational Track Meets are on the same day we have the Rose City Triathlon scheduled (September 11, 2010).  Bob Hepler (UTT track coach) and Dennis Baker (Robert E. Lee track coach) have asked us to change our date to the following weekend.  Steve noted that UTT has been very supportive of our event through providing equipment (kayaks & life preservers), volunteers, and water bottles and in addition provided 20 or so participants.  After a brief discussion, the board members agreed unanimously to make the date change of the triathlon from September 11, 2010 to September 18, 2010. 

Duke Gill brought up another item for discussion concerning the fees charged for the Rose City Triathlon.   Acting on several suggestions made at the November club meeting,  he worked out a plan which includes offering a reduced price for the race if you pay early and larger fees if you wait till the last minute.  The purpose of this is to encourage participants to pay early which gives us capitol to use to purchase items needed for the triathlon (race numbers, t-shirts, awards, etc.) In addition, the larger fees at packet pickup will discourage late entries which cause last minute additions to the computer database the evening before the race.  The details are to offer an individual entry for $55 and a team entry of $110 beginning on January 1 and ending on May 31.  From June 1 till 7 PM on September 4 an individual entry will be $60 and a team will be $120.  From 7:01 PM on September 4, until 7 PM September 12, an individual entry will be $80 and a team entry will be $140.  Online registration will be closed at 7 PM on Sunday, September12.  Registration at packet pickup will be allowed but the fees will be $90 for an individual and $150 for a relay team.  All board members were in agreement with the fee changes. 

Duke also mentioned that we would be using imAthlete registration services for the 2010 RCT instead of Signmeup.com.  imAthlete allows (requires) a participant to pay for a one-day membership or a full membership to USAT (or insert a USAT #) WHILE signing up for Rose City Triathlon online, something which can save tons of time and work during packet pick up.

Dues were briefly discussed and it was decided that no member points would be counted in the club competition until dues are paid.  Dues will be necessary by January 31 and Gina will start the membership drive with her January newsletter which will be e-mailed to all current members.  Members will be able to purchase a Jersey, pay dues for a new membership, and order the Runner Triathlete News during January.  After January 31, you will be able to pay for dues only.

East Texas Triathletes Quarterly Meeting, November 14, 2009  

Location:  Tyler State Park, Picnic Area #3

After eating burgers and hot dogs cooked by Alan Harris and side dishes brought by club members, Clint Bolton called the meeting to order. 

Clint asked Steve Farris to give a report on our Rose City Triathlon.  Steve said that he had received lots of positive feedback on our triathlon and suggested that he had a goal of hosting a USAT championship triathlon in the future as the USAT officials had recommended our event for this.  Steve discussed the need for more volunteers needed at the race site for the set-up as he and Alan were overwhelmed—they even had to set up swim buoys up in the dark.  Next year he will organize the set-up with club-member volunteers signing up for time to work at the race site on Thursday and Friday, September 9th and 10th.   Please save the dates so you can plan on helping next year.  Also we need more club members to help after the triathlon to strike the race set-up and clean the area.   Many club members thanked Steve and Alan for their hard work and commented on how much they enjoyed the well-run event.  Duke Gill gave a financial report on the race stating that we had earned $10,084 in proceeds from the event.  Steve reported that we would be giving Hospice of East Texas $4,500 and the Whitehouse Volunteer Fire Department $1,000.  He also discussed the need for keeping a portion of the proceeds for next year’s triathlon as start-up to cover early expenses needed for the 2010 triathlon.  One item for discussion was the swim course.  Steve asked the membership if we would like to return to the swim course of 2008 if the water levels are sufficient or if would we like to keep the course as it was this year when the water level was low.  After the discussion, it was decided that because of frequent low levels of the lake water that we would keep the course as it was this year.   John Cobb made the suggestion that we use a hotel next year for packet pickup as there would be more parking and room for this and there seemed to be a general consensus that this was a good idea. 

Clint next reported to the club that we needed to elect officers for next year.  The slate which was nominated at the August meeting was unanimously elected.  Our officers for 2010 will be Gina Bolton, President; Steve Farris, Vice President; Alan Harris, Treasurer; Duke Gill, Secretary/Webmaster; William Ritter, Director; Clifford Barnes, Director.  Clint told the members that because of Gina’s new position, there was a vacant director’s seat and asked for nominations for the position.  Three club members had expressed an interest in the position and after a vote, Chauncey Deller was selected to be the 3rd director as required by the club constitution. 

Duke Gill then presented a gift to Clint Bolton as appreciation from the club for his service as president for the 2009 season.  Clint then introduced John Cobb as speaker for our meeting.

John asked all of the members to introduce themselves.  It was noted that our club indeed covers a wide area of East Texas and that we have a wide variety of experience levels.  John’s chat was inspirational and encouraged us all to get busy training during the winter months.  He also told us that a great way to get faster on the bike was to attend his spinning class at Premier Fitness which will meet on Tuesday nights at 6:30—he promises a tough workout. 

Clint then recognized Jerry Vinson who gave each member two bottles of Evolv, a fitness hydration product, and asked that we try it and then e-mail him a testimonial on how effective it was in our training.

East Texas Triathletes, Quarterly Meeting, August 29, 2009 

Location:  Bruno’s Italian restaurant on Old Jacksonville Road. 

After feasting on delicious Italian cuisine, the meeting was called to order at 1 PM by club president, Clint Bolton. 

Clint reported that, per the club vote from the last meeting, we had hired Shirley Carson, a Tyler CPA, to take care of the Federal and State paperwork for our non-profit status.  She will be charging the club $300 for this service.  The CPA informed us that there were two amendments needed in our constitution in order to maintain our current non-profit status.  Duke Gill explained the two amendments.  The first amendment clarifies what is to be done with any club funds if it ever ceases to exist—the funds must be donated to a charity or back to the local government.  The second amendment contains the club’s new “conflict of interest” policy.  After a brief discussion, Tammy Rooney made a motion that we accept both amendments.  The motion was seconded by Duke Gill.  The motion carried.  

Clint then spoke to the club about allowing Rose City Triathlon entrants join the club for free for the remainder of this season.  After a brief discussion, James McAndrew made a motion to offer a free membership to Rose City competitors.  The motion carried. Duke Gill will send an e-mail broadcast to all RCT entrants offering them the memberships.

Clint then gave a brief report on the status of the Rose City Triathlon.  Sign-up is progressing well with more than 200 planning to participate.  Steve Farris mentioned that we had been getting some great sponsorship and we were looking good financially.  He also requested that we thank our sponsors when we see them.  These include:  Peltier Nissan, East Texas Medical Center, Racquet and Jog, Farris Machine, American Gold and Diamond, Hossley-Embry Attorneys and Counselors, Urology Tyler, PA, USA Triathlon, Tyler Area Chamber of Commerce, Texas State Optical, Syler Veterinary Clinic, Alan’s Lawn & Landscape, and Arlington Physicians.  Tammy Rooney mentioned that she gave the manager of the Brookshire Grocery Company [donated some bagels and fruit last year] one of the Rose City Triathlon finish medals.  It was discussed that we might do something similar if we have enough left over medals.  Duke Gill reported that last year he did send out hand written thank you notes to each sponsor.

Clint then asked Steve Farris, club vice president and nominating committee chair, to present a slate of officers who will be voted on at the next club meeting in November.  Steve named, Gina Bolton, as the nominating committee’s choice for club president and suggested that we keep the other offices with the same people:  Steve Farris as Vice President, Alan Harris as treasurer, Duke Gill as secretary/webmaster, and William Ritter and Clifford Barnes as directors.  If Gina moves up to be the club president, then her spot as a director will open.  Chauncey Deller volunteered to be a director.  Clint then asked if there were any other nominations and there were none.  The club will be voting on these officers at the November meeting.

Clint asked if there were any other items for discussion.   Duke Gill mentioned that today (August 29) at 7 PM the cost for entering the Rose City Triathlon would increase from $60 to $70, so he reminded club members to get signed up before then.

East Texas Triathletes, Quarterly Meeting, June 7, 2009 

The meeting was called to order by club president Clint Bolton at 5:30 PM after everyone had feasted on all of the terrific food at our potluck dinner.

Clint asked Duke Gill to discuss progress with our non-profit status.  Duke stressed the need to hire an accountant to take of the Federal and state paperwork necessary for non-profits.  He was overwhelmed with the complexity and stressed that we needed a professional.  The deadline for taking care of the non-profit state paperwork is August 8, 2009.  A motion was made by Jim McAndrews (and seconded) to contact the Tyler Bicycle Club officers and find out who does their non-profit work and get a quote from the same accountant.  It the fees are reasonable, the club will hire someone to do this.

Clint then asked vice president, Steve Farris, to give a report on the progress with the Rose City Triathlon which will be held on Saturday, September 12, 2009.  Steve reported that the sanctioning application had been made but generally it was not until a few weeks before a race to get actual sanctioning approval but that he did not foresee any problems with this.  After a member question on whether teams will be allowed, he mentioned that we will still have relay teams for our race but that none of the race officials will be organizing them this year since it was a difficult task last year.  One important new feature of the Rose City Triathlon this year is that we are offering a $250 cash prize for a new male and/or female course record.

Steve also mentioned that the Tyler Bicycle Club members will be working our triathlon and that we need to be sure to return the favor by volunteering and working at the Beauty and the Beast bike event they sponsor.  He stressed putting the Beauty and the Beast event on your calendars.  The event is the 3rd week in March.

Club director, Clifford Barnes, then introduced our guest speaker, William Allen.  William is an accomplished Aikido instructor and gave a great demonstration of the benefits and effects along with club member Stan Wilson.  Aikido is great for stretching and injury prevention for triathletes.

East Texas Triathletes, Quarterly Meeting, February 28, 2009 

Meeting opened by President Clint Bolton at 6:42 p.m. at Spring Creek BBQ.  Reviewed the morning’s Athens pre-tri clinic, which had approximately 20 participants.  Then reviewed the annual USAT USMW banquet and the awards earned by ETT and its members (1st in division. Chauncey and Tammy winning individual awards).  Rose City Triathlon won Best Small Triathlon in its first year.  Club representatives also raced Freeze Your Fanny next day. 

Report of Treasurer Alan Harris.  Membership dues are due.  Members can pay via PayPal or by check—preferably by April 15th if one wants to received Triathletes Runner News. 

Report of Steve Farris, RCT director:  Need flagger volunteers for the TBC’s Beauty and the Beast rally March 21st.  They support us so we should support them.  When asked Steve said there was no pre-race meeting other than one hour prior to the start of the B&B on the 21st.  In regard to RCT, he had not much to report now, but said we need to work on sponsors and people—hoped for a goal of 300 participants next year.  Tammy Rooney asked about the possibility of a duathlon on the same course.  No certain response.  Steve finished by mentioned the local YMCA’s multi-sport event on April 4th:  a point-to-point race from the Y to UTT.  He said call Sam (no last name) at the Y for details.

 Report of Duke Gill on Tri-Swim Clinic:  Bob Wiskera, TI coach, may offer a short video clinic at fee of $75 per person.  Must be on a Friday night as this is the only day the YMCA pools is available.  Also reported on club jerseys.  Said John Cobb had recommended a company, Canari, that could offer us jerseys for $39 per, minimum order of 6—less if we order more. 

 Matt Madison introduced guest speaker, Dr. Cathy Fiesler, who spoke about sports injuries and their prevention.  At close of presentation Duke Gill presented Dr. Fiesler with an appreciative gift.

 Prior to adjournment, Clint raised the issue of a new position for Duke Gill as Webmaster, whereupon Kahne Parsons offered her resignation as secretary and suggested merging the post with Webmaster.  Matt Madison nominated Duke Gill as “Web-secretary”.  Motion was seconded and carried.

 Meeting adjourned.

The Executive committee met after the meeting to discuss applying for the USA Triathlon club grant.  After a brief discussion, the board unanimously voted to apply for a grant to help defray partial cost of the services of Atomic Racing for Champion Chip timing at the Rose City Triathlon.  President Clint Bolton volunteered to write the grant.

Executive Committee Meeting--January 10, 2009 Parke Way Fitness Center

Team jersey issue was discussed.  It was expressed by all in attendance that a team jersey that will appeal to all members should be used.  This will lead to a generic jersey, using the club logo on a orange jersey.  Duke will provide the jersey design to Clint.  Clint will determine how fast they can be produced/received and notify the club of the jersey. Early estimate of when the jerseys need to be purchased by club members is 2/28.  Order would need to take place immediately following.  Clint needs to notify the uniform committee of these actions to take place before it is made public to the club.

Next club meeting needs to take place before mid-March, so that a motion  can take place to apply for a USAT grant.  Grant deadline is mid-March. Clint will open up discussion on the forum to determine a good time and place.
